Process and technologies for guarding your data

 

Always-on broadband networks are commonly protected by firewalls which, as the first line of defence, act as the network gatekeepers controlling access into your organisation. All data travelling over the networks must be encrypted - especially important in wireless networks.
Today’s intelligent networks include a large number of security and network monitoring functions which offer varying levels of protection against attack.

Software packages protecting against potentially lethal viruses, spam or denial of service attacks are available but they are only as good as the latest update. If you don’t regularly download and implement the latest software patches, your systems may be open to abuse.


Before you add any equipment, factory default settings must be changed as they can be hacked into very easily - fraudsters can break into company telephone exchanges and run up massive bills in international dial charges, especially over a weekend or public holiday.


Every person must use passwords, PINs or other authentication processes before they can log-on to the system. You can configure your network so it automatically sends regular reminders to change passwords and denies access for non-compliance.


As more companies allow external access to their company applications whether via extranets or intranets, it’s essential you know who is accessing your systems and you can control what they see and do on your sites.

 

Education strengthens security

One of the most effective means of defence is to educate your workforce; they need to know the implications of not working securely. They must be made aware of the security measures you have implemented and why - even the most robust systems will not protect you if your staff don’t comply.


It’s wise to automate as many security processes as possible without making it difficult for people to work. Remote, mobile and teleworkers should all be covered by security plans.


Everyone should know the virus and spam risks of opening emails from unknown sources. People must know how to use mobile devices outside the safety of company security - especially when sending data over public wireless networks such as WiFi.


Let your staff know how important it is to tell your IT department immediately about the loss or theft of any equipment - the data can be remotely wiped. While it may cost you to lose equipment, it costs a lot more to lose the information it contains which may even threaten your business. Unpleasant as it may be, your employees represent a high security risk and are responsible for a considerable proportion of abuse both inadvertent and planned.
